When an employer asks to read your passport
Approve, approve only some parts, or decline. What an approved employer sees, the Requests checklist, withdrawing access, and the log of every look.
3 minute read
An employer can only ask. Nothing beyond your public page opens until you say yes, and you choose how much.
Where an ask reaches you
An employer's ask waits on Requests in your menu, with a count beside it, and on Needs you on the Overview. Each request has its own page: who asks and why, what they ask to read, and what they can read now.
An ask you leave unanswered expires after 30 days, and nothing is released.
Approve or decline
- Accept shows you what they asked for, as boxes to tick. Untick anything you do not want to share, then choose Give them access.
- Decline asks you to confirm. The employer sees that you declined, and nothing about you is released.
Two things are separate choices, off unless you tick them:
- Include my contact details. Off by default: the employer gets your contact details only if you tick it.
- Share my date of birth, shown only when they asked for it. Unticked, they see only whether you are over 18 and over 21.
A general approval never includes your nationality.
What an approved employer sees
On every line they may read: whether it was confirmed, who confirmed it and when, and which parts stay Claimed. Also the files on those records, the lines you set to Only companies I approve, a career break's reason if you chose to show it and, where their access includes them, your language levels and where and on what basis you may work.
Approving costs you nothing. While your passport includes free reading, as your own passport year does, the employer reads free; otherwise it spends one of its verifications.
The checklist on Requests
A company's request is also a list of what it needs, such as your identity check, a number of years of work history, education, certifications, a right to work or a verified e-mail or mobile. Each item shows Verified, Claimed, Ready, Waiting, Missing or Not shared, and a missing one has a button to fix it.
Once you have approved the ask or accepted the invitation, Send to the company e-mails them what is ready and what is still missing. certo also tells them by itself, once, as soon as everything is ready. Sending never changes what they may read.
Withdrawing access
On Share & Access, Who can read it now lists every organisation that can read more than your public page. Choose Withdraw: they lose access at once, and they can ask again.
An employer that sponsored your verification shows Sponsored · locked until a date. You accepted that lock with its invitation, and it cannot be withdrawn until then. Erasing your account still ends it. Read your invitation.
Who opened it
Who opened it, also on Share & Access, lists every time someone saw more than your public page: an organisation you approved, one answering your verification request, or certo staff working on a case about your passport. The organisation is named, never the person at it.
The entry is written in the same step as the read. If it cannot be written, nothing is shown. Nobody can edit the log, certo included.
Asking is not getting. A company sees only what you approved, and you can see every time it looked.
