The requirements checklist, and when a candidate sends it

Every ask and invitation carries a checklist of what the candidate must have ready. You hear when they send it, and once, automatically, when it is complete.

4 minute read

When you invite a candidate or ask to read their passport, you also say what they must have ready: for example the identity check passed and the last five years of work answered. The candidate sees the same checklist, works through it, and sends it to you when they are ready.

The checklist never changes what you may read. The candidate decides that when they approve or accept.

What can be on it

The items come from what you ask to read. Ask for employment and the work history item is on the list; ask for contact details and the contact item is on it.

ItemReady when
IdentityThe identity check passed. Always on the list.
Work historyThe last five years of work (or the number you set) are accounted for, with no gap of three months or more (a job, a course, volunteering or a career break all count), and every employer in them answered or the request closed.
EducationEvery course and degree answered or closed.
CertificationsEvery certification answered or closed, or only the ones you name.
A roleAt least one role on the passport.
A languageAt least one language on the passport.
Right to workA right to work in the place you choose, claimed by the candidate. certo does not verify a right to work.
Verified contact detailsA verified e-mail or mobile, or the kind you choose.
Date of birthThe date of birth from the identity check, when you asked for it.

"Answered or closed" means the request came back: confirmed in full or in part, declined, no record found, or no reply before it closed, or the line was supported by evidence. A ready item is not the same as a verified one. You read the actual answers on the passport.

Changing what is required

The checklist starts at certo's defaults. Press Change what is required to adjust the items your request carries:

  • Years of work history: from the last year to the last 10 years. Five by default.
  • Right to work: any country, the EU, EEA and Switzerland, or one country.
  • Verified contact details: either, e-mail, mobile, or both.
  • Minimum education: from a secondary school qualification to a doctorate, read from the award the candidate entered.
  • Named certifications: up to 10, such as "First Aid at Work". Name none and every certification on the passport counts.

You can set the checklist on each invitation, on each ask, on a position (every invitation to it starts from that), and on each job your ATS integration acts on.

When the candidate sends it

Once the candidate has approved your ask or accepted your invitation, they can send their passport to you at any time, complete or not. You then see what is ready and what is still missing. They can send it at most once an hour.

certo also sends it automatically, once, the moment everything on the checklist is ready, unless the candidate has already sent you a complete one.

Each send reaches you:

  • By e-mail, to the colleague who made the ask or the invitation. If they have left the company, or an ATS made the invitation, the owners and admins get it instead. The button is Open your candidates.
  • On your ATS, as a note on the application, if an ATS job made the invitation. See The ATS integration.
  • On your webhook, if your company has one. See Webhooks.

On your Candidates list

Under each candidate you can read, the line Their request shows the newest checklist, for example:

4 of 6 ready · Missing: right to work · Waiting for others: work history (3 of 5) · Sent by the candidate 17 Oct

  • Missing is the candidate's to do.
  • Waiting for others is out of their hands, such as an employer still to answer.
  • Missing, needs access is an item they did not share with you. You never learn its state.

When everything is in, the status reads Ready with a check, and the line says "Everything you asked for is in."

Before the candidate approves or accepts, you see nothing of their checklist. Only they do.
