Reading a passport once it is open to you
Who confirmed each line and exactly what they confirmed, what stays Claimed, what silence means, and why every read is logged.
4 minute read
Once a candidate approves your ask or accepts your invitation, their passport opens to your company. Open it from your Candidates list (it opens in a new tab), or go to their address while signed in. You read the same page as everyone else, with the answers unsealed.
Who confirmed each line
Strangers see every line a candidate added, but not whether it was confirmed. You see, on every line, who confirmed it and exactly what they confirmed. For example:
On this line: People Operations at Northwind Ltd confirmed the dates and the title on 2 Oct 2026.
The confirmer is named as the organisation and the team that answered, never a person. Each line carries one of these marks:
| Mark | What it means |
|---|---|
| Verified | The organisation confirmed every part of the line. Where certo also signed it as a certificate, you can open the certificate and check it. |
| Partly verified | Some parts were confirmed, the rest stay as the candidate claimed them. The pill says which, such as "title declined". |
| Supported by evidence | The company no longer exists, so certo reviewed documents the candidate sent. The employer did not confirm it. |
| Claimed | The candidate wrote it and nobody has confirmed it. It never looks confirmed and is never signed. |
A partial answer stays partial
If an employer confirms the dates but not the job title, the dates show as confirmed and the title stays Claimed, on the same line. The card spells out both: what was confirmed, and what was asked and not confirmed, or never asked at all.
Silence is a finding
When certo asked an organisation and nobody answered before the request closed, the line says so: Claimed · no reply. You also see declined when the organisation refused to answer, and no record found when it searched and found nothing. None of these is ever shown as pending or as a pass.
A confirmation can also age: lapsed means it was confirmed but is older than it stays valid for, and an expired credential is one whose own validity has ended.
The rest of the passport
- Identity. An identity provider checked the candidate's identity document and matched it to a live selfie, with the date. You also see whether they are over 18 and over 21, checked against the document.
- The last five years. How much of the candidate's working time in the last five years is accounted for, and how much of it was verified at source.
- Right to work. Where, and on what basis, as the candidate claims it. certo does not verify a right to work.
- Career breaks. Always Claimed. The reason shows only where the candidate shared it with employers.
- Roles, languages, projects and achievements. In the candidate's own words, marked Claimed unless something on the line says otherwise.
Contact details and the date of birth
These are separate permissions, off unless the candidate gives them:
- Contact details appear only if you asked and they agreed. Each e-mail and mobile says whether it is verified.
- The date of birth appears only if you asked for it, with a reason, and they agreed. Otherwise you see over 18 and over 21, never the date.
For an ask, the candidate ticks what you read, which can be less than you asked for. Your Candidates list shows what they actually released.
Every read is logged
Each time someone at your company opens the passport, certo writes it to a log before the page is shown: the passport, the contact details, each private file opened, the age answers and the date of birth each count. An export saves a copy and is logged again.
The candidate sees this log under Share & Access, in Who opened it. It names your company, never the colleague who opened it.
When access ends
On your Candidates list, a passport you can read may later show:
- Access withdrawn: the candidate withdrew it. For a sponsored invitation they can do this only after the first 12 months.
- Paused until the candidate renews: you read it free while the passport read free, for example during the candidate's own paid year, and that has ended. It opens again by itself when they renew.
- Access ended: the access has run out.
Only live access opens the passport.
