Inviting colleagues and their roles

Add your team by e-mail and give each person a role: owner, admin, recruiter or issuer. One verification balance for everyone, no seats.

3 minute read

Your whole team works from one company account: one list of candidates, one verification balance, no seats to buy. Each person signs in with their own account and has a role that decides what they can do.

Invite somebody

  1. Open Company profile and find People.
  2. Under Invite somebody, enter Their work e-mail and pick a role.
  3. Press Send invitation.

We e-mail a link that works for that address alone, for 14 days. Your colleague opens it, gets a code by e-mail and presses Join Northwind Ltd. If they have no certo account yet, the code creates one. Their own passport, if they have one, stays private to them: the company sees only their name and e-mail as a member.

Invitations not yet accepted are listed under Waiting to join, where you can Withdraw one.

Use a plain address. An address with a "+" or another special character before the @ cannot hold an account, so certo refuses it.

What each role can do

RoleWhat it is for
OwnerEverything, including who else is an owner.
AdminEdits the profile and manages everybody but owners.
RecruiterAsks to read passports, manages positions and exports candidates.
IssuerIssues certificates in the company's name.

Whatever their role, everyone in the company can invite candidates.

Changing a role or removing somebody

Owners and admins change a person's role from the list under People; the change is saved as soon as you pick it. To take somebody off the company, press Remove. They lose access to the company's console straight away, and you can invite them again later. Removing somebody from the company never touches their own passport.

People asking to join

When somebody signs up for a company that is already on certo, they ask to join it instead of creating a copy. The owners get an e-mail, and the request appears on Company profile under Asking to join, marked On the company's domain or Not on the company's domain. Press Let in or Decline. A declined person is told no, and nothing else.

Who the candidate sees

Candidates never see which of your colleagues read their passport. Their log, under Share & Access, names the company, not the person. The same goes for an invitation: it comes from the company, with your company profile beside it.
