The ATS integration
Connect your applicant tracking system once. Candidates who reach the stage you choose are invited automatically, and the results are written back to their application.
4 minute read
The ATS integration runs certo inside the hiring system your recruiters already use. You choose a job and a stage; every candidate who reaches it is invited to verify, and what comes back lands on their application.
What it costs
The integration is €990 a year per company, bought on its own. On top of that, each automatic invitation spends one verification, exactly as one you send by hand does, with the same rules for getting it back. See Verifications and what they cost.
An owner or an admin sets it up, on ATS integration in the menu. Your company profile has to be complete first, because your ATS invites candidates in your name.
Which systems work
certo connects to many applicant tracking systems through an integration partner. Not every system lets a connected app do everything, so check what each ATS supports before you buy.
Setting it up
- Press Buy the integration and pay for the year.
- Press Connect your ATS and sign in to your ATS in the window that opens. certo never sees your ATS password.
- Under Jobs, press Add a job and choose:
- Job: one of your ATS's open jobs.
- Invite candidates who reach: the stage that starts a verification. Each application is invited once, the first time certo sees it in this stage.
- After the identity check, move them to (optional): a stage to move the application to once the identity note is written.
- When the candidate's passport is ready, move them to (optional): a later stage for when their checklist is complete.
- The checklist: what the candidate must have ready. See The requirements checklist.
- Press Save.
What happens to each candidate
- Invited automatically. A candidate who reaches the stage gets a sponsored invitation in your company's name, and one verification is spent. An ATS invitation asks to read everything an employer may, without contact details or the date of birth.
- Identity as a note. When their identity check is done, a note is added to the application: the verified name, the document and the country that issued it, the date of the check, whether they are over 18 and over 21, and their passport's address.
- A report when confirmed. Once every job in their last 5 years has its dates confirmed by the employer, or every such employer has answered, a PDF report is attached to the application, saying exactly what was and was not confirmed. A candidate with no work in that time gets no report.
- Each time they send their passport, or it becomes ready, a note says what is in and what is missing, with a report on what you asked for.
The identity note and each report are reads of the passport on your company's behalf, so the candidate sees them as your company under Who opened it.
certo only ever moves an application forward, and only while it is still undecided in the invite stage or the stage it moved it to after the identity check. It never undoes a move a recruiter made.
Following it in certo
Under Candidates on the same page, everyone certo picked up from your ATS shows how far they have got: Invited, Accepted, Identity written to ATS, Report attached: five years confirmed, and so on. Two things to watch:
- Waiting for a verification. With no verifications left, candidates wait and are invited as soon as you buy more.
- Not invited: the ATS address has a + or another special character before the @. certo invites plain addresses only. Ask the candidate for one, or invite them by hand.
Press Check now to look at your ATS straight away. Stop on a job means no new invitations from it; candidates already invited still get their write-back.
If the year lapses
Everything stops on the day the year ends: no new candidates picked up, no invitations, nothing written back. Renewing starts it again from where it stopped. Owners and admins manage or cancel the year under Manage subscription. A cancelled year runs to its end date and does not renew.
Disconnect stops certo reading and writing to your ATS at once. Candidates already invited keep their invitation.
