Your team and their roles

Invite colleagues from the registrar's or careers office, give each a role, and decide who can issue degrees in the university's name.

3 minute read

Everybody who works for your university on certo signs in with their own account. Their role decides what they can do. You manage people on Company profile, under People.

The four roles

RoleWhat they can do
OwnerEverything, including who else is an owner.
AdminEdits the profile and manages everybody but owners.
RecruiterReads passports shared with the university and invites candidates.
IssuerIssues certificates in the university's name.

Owners, admins and issuers can all send a graduate batch. Give the Issuer role to the people in the registrar's office who send degrees but should not change the profile or the team.

A university always keeps at least one owner. The last owner cannot be removed or have their role changed.

Invite somebody

Owners and admins invite people:

  1. On Company profile, go to Invite somebody.
  2. Enter their work e-mail and choose a role.
  3. Select Send invitation.

We e-mail a link that works for that address alone, and only for a limited time. Until it is accepted, the invitation sits under Waiting to join, where you can withdraw it.

The person opens the link and we send a code to the invited address. If that address already has a certo account, the code signs them in; if not, it creates one. Then the university appears in their menu.

Joining never opens a colleague's own passport to the university. If they have one, it stays private to them. The university sees only their name and e-mail as a member.

When a colleague signs up on their own

If a colleague signs up and types the university's name, certo finds it and they ask to join instead of registering it again. Owners get an e-mail. The ask appears on Company profile under Asking to join, marked On the company's domain or Not on the company's domain, so you can tell a colleague from a stranger. Choose a role and Let in, or Decline.

A person who asked to join sees nothing of the university until somebody lets them in.

Change a role or remove somebody

On Company profile, under People, change a person's role from the list beside their name. An admin can change and remove anybody except owners.

To remove somebody, select Remove. They lose access to the university's console straight away. You can invite them again later.

What certo keeps

Some details decide what certo signs in the university's name, so certo staff change them, not your team:

  • the legal name, which is the name a certificate is issued under
  • the e-mail domains
  • what the organisation is to certo (here, a university)
  • the issuer agreement
  • the registry number, once it is kept

To change one of these, write to certo at support@certo.bio. For the registry number, an owner or admin asks for the change on Company profile, with a reason.
