Your team and their roles

Invite colleagues to your organisation, choose what each of them can do, and who can issue certificates.

2 minute read

Each person who acts for your organisation on certo has their own account and one role. The role decides what they can do. You manage everyone from the People part of your Company profile.

The four roles

RoleWhat they can do
OwnerEverything, including who else is an owner.
AdminEdits the profile and manages everybody but owners.
RecruiterReads passports and invites candidates.
IssuerIssues certificates.

Owners, admins and issuers can send a batch of certificates. A recruiter cannot. If somebody on your team only sends certificates, give them the Issuer role.

Only owners and admins can edit the company profile, including the logo, the description and the registry number. Anyone else who needs a change asks one of them.

An organisation always keeps at least one owner. The only owner cannot be removed until somebody else is an owner too.

Inviting somebody

  1. Open Company profile and go to Invite somebody.
  2. Enter their work e-mail and pick a role.
  3. Send the invitation.

We e-mail a link that works for that address alone, for 14 days. Until they accept, they are listed under Waiting to join, where you can Withdraw the invitation.

The person accepts with a code we e-mail to the invited address. If that address already has a certo account, the code signs them in. If not, it creates one. No password is ever needed.

Joining your organisation does not open anything of theirs to you. If they hold a passport of their own, it stays private to them. Your organisation sees only their name and e-mail as a member.

People who ask to join

Somebody can also find your organisation while signing up and ask to join it. They appear under Asking to join on your company profile, marked as on or off your organisation's domain. An owner or admin picks a role and chooses Let in or Decline. A declined person is told no, and nothing else. They see nothing of your organisation unless you let them in.

Changing a role or removing somebody

Owners and admins change a person's role from the list of people, and the change saves at once. To take somebody off the organisation, use Remove beside their name. Their own account, and their passport if they have one, are not affected.

When someone leaves your organisation, remove them. Anyone with the Issuer, Admin or Owner role can send certificates in your organisation's name.
